New Post! From Burnout to Balance: How Clinicians Can Take Back Control of Their Practice

Most physicians, therapists, and health professionals didn’t go to school to learn about billing systems, EHR integrations, or patient scheduling tools. They went to learn how to help people.

But when your day-to-day is filled with admin work, frozen video calls, and tech that doesn’t talk to each other, it’s easy to feel like your practice is running you — not the other way around.

After more than a decade helping thousands of providers set up and scale Telehealth and hybrid practices, I’ve seen a clear pattern: the most successful clinicians treat technology as an investment, not added overhead costs.

Here’s how they do it:

  1. Simplify before you scale. Don’t start by buying more software — start by fixing the systems you already have. Streamline scheduling, billing, and communication first.
  2. Choose tools that pay for themselves. Every piece of technology should save time, reduce missed appointments, or improve patient experience. If it doesn’t, it’s not an investment — it’s a distraction.
  3. Get support early. Technology fails when support fails. The difference between frustration and freedom often comes down to how well your team is trained and supported once the tool is live. A vendor with Live Phone Tech Support who saves otherwise missed appointments is worth its weight in Gold.
  4. Measure what matters. Time saved, stress reduced, revenue retained, and patients that keep coming back — these are your new KPIs.

At the end of the day, healthcare technology should make it easier to do what you love: care for people.

If you’ve been thinking about taking control of your practice — or starting one that gives you more freedom — now’s the time to do it intentionally.

I’ll be talking more about this on an upcoming podcast about how clinicians can reclaim their time and profitability through smart systems. What’s one area of your practice you wish ran smoother? Drop it in the comments — I’ll share a few solutions I’ve seen work.

Hi Reader, Stop Getting "Ghosted" by Patients No-shows can be scary — especially when patients simply vanish. But with a few small tweaks, you can keep your schedule full and your practice thriving. Here are three simple tips to reduce no-shows and patient “ghosting”: Smart Reminders: Send SMS reminders 24 hours before, the morning of, and 10–15 minutes before each appointment. Consistent reminders are proven to reduce no-shows by up to 30%. Each reminder should have the link to join the...

Hi Reader, Telehealth Tip Friday — AI Clinical Notes If you’re testing AI for documentation, start simple: Pick one visit type — your most common, like a 50-minute therapy session. Create one template — decide what you want back (Summary, Plan, Codes, etc.). Do one quality check — review 10 notes for accuracy and tone, then lock in what works. Pro tip: If you're adding AI clinical notes to your practice, add a short note to your intake packet explaining that an AI assistant may help draft...

Hi Reader, Last week I talked briefly about Patient Retention, did any of you try anything new? What works for you? Now on to this week's tip. I was working from a coffee shop this week when I overheard someone on a call talking — in detail — about their medical problems. Loudly enough that half the café could hear. Now I don't think it was a conversation with a medical professional, but I guess I tried to ignore it so I can't say for sure. It reminded me how easy it is to forget that privacy...
